Requirements

  • 2–4 years of experience in sales operations, billing coordination, finance operations, or administrative roles
  • Hands-on experience with invoicing, collections, and payment reconciliation
  • Experience with CRM systems or billing platforms (Ariba, Coupa, or similar tools)
  • Experience working cross-functionally with Sales and Finance teams
  • International work environments are a plus

FocusEconomics is looking for a Sales Support & Billing Coordinator to join our Sales team and help ensure the administrative and operational side of the commercial cycle runs smoothly.

This role supports the Sales team by coordinating the administrative steps required after a deal is closed, ensuring that contracts, billing information, and client documentation are properly completed so invoices can be issued on time.

Working closely with Account Executives and the Finance team, the position helps keep commercial operations organized and efficient, ensuring that deals move smoothly from contract signature to invoicing and payment.

This role is ideal for someone highly organized who enjoys managing processes, coordinating across teams, and supporting the operational side of a fast-paced commercial environment. 1. Sales Operations & Billing Enablement
  • Support the operational steps required to move deals from closing to invoicing.
  • Manage billing prerequisites such as PO numbers, client portals, and documentation
  • Work closely with Account Executives to ensure contracts and billing information are complete
  • Prepare and organize documentation required for invoice issuance.
  • Maintain accurate billing records and supporting documentation.
  • Manage client billing platforms such as Ariba, Coupa, and similar procurement systems.
  • Track outstanding invoices and coordinate follow-ups with Sales and Finance.
2. Sales Support & Client Documentation
  • Support the sales team in administrative and documentation workflows.
  • Assist with contract renewals and related documentation.
  • Manage client documentation and compliance materials
  • Support the preparation of legal certificates for institutional clients
  • Maintain organized legal and financial documentation.
  • Manage shared inboxes (info@ and subscribers@)
3. Administrative & Finance Coordination
  • Support administrative processes related to billing and financial documentation
  • Coordinate with Finance to ensure all billing documentation and requirements are completed before invoicing.
  • Prepare documentation required for accounting and monthly closing processes.
  • Assist with vendor payments, expense reporting, and petty cash reconciliation.
  • Coordinate external advisors and administrative services when needed.
  • Support internal compliance and data protection processes.
