El puesto

Eterniti is the leading operator of vacation rentals in iconic holiday destinations, led by a passion for excellence, authentic adventures, and hospitality. With over €2 billion in assets under management, we operate 800+ chalets, villas and apartments under 3 consumer brands: Emerald Stay (our 4* brand), Bo House (our 5* brand) and Verbier Exclusive (our Palace brand). Our guests can discover our properties in more than 25 exceptional destinations across Europe and North America.

The Finance Operations Specialist is the engine of day-to-day finance operations across our 20+ group companies. The role makes sure that every invoice is captured, checked and paid correctly and on time, that expenses are complete and correctly coded before month-end, that revenue and commission data reconcile, and that the accounting team and our on-site teams can rely on clean, up-to-date information.

It is a hands-on role for someone precise, organised and reliable, who likes a clean process and a clear inbox, and who wants to learn how an international group runs its finances from the inside.

RESPONSIBILITIES

1. Invoice processing and accounts payable

  • Enter and process supplier and customer invoices in Payhawk for all group companies, and review them for accuracy, completeness, supplier details, VAT treatment and categorisation.
  • Manage the Payhawk receipt mailboxes, chase missing invoices, receipts and approvals, and follow up on unpaid items.
  • Upload bank and payment-provider invoices (Revolut, Qonto, utilities and others) to Payhawk at least every two weeks and mark them as paid, so that the accounting and Owners teams work on complete data.
  • Assign the correct document type and supplier data to every expense, so that accounting entries are complete at first pass.
  • Collaborate with Operations and on-site teams to verify supplier invoices and expenses.
  • Export and archive invoices in the company Drive at the end of each month.

2. Payments and daily banking

  • Check the bank accounts and the Bank Transfer page in Notion twice a day.
  • Prepare bank transfers and payment batches with complete supporting documents, in line with the payment authorisation matrix and internal approval procedures, and follow them up until settled. Payments are released by authorised signatories only.
  • Process owner rent and expense payments, with costs correctly split between categories and entities.
  • Manage recurring payments (offices, storage, employee accommodation) and keep the monthly payment schedules per destination up to date.
  • Upload payments made from external accounts and keep Payhawk and bank data aligned.

3. Expense control and month-end

  • Review all expenses before the 15th of each month so that they are correctly categorised, allocated and ready for month-end.
  • Verify VAT treatment, supplier information and allocation between entities.
  • Review "back to owner" expenses every week, so that the Owners team has accurate and up-to-date information for each property.
  • Review outstanding expenses and clear open items ahead of quarter-end and year-end.
  • Support the monthly export, reconciliation and filing of Payhawk transactions.

4. Revenue reconciliations and reporting

  • Reconcile payment information between Booking.com, Mews and internal records.
  • Review Booking.com and other channel commission invoices against actual stays before the 15th of each month.
  • Identify discrepancies and coordinate with the relevant teams to resolve them.
  • Assist in preparing management control reports, monitoring key operational indicators and preparing financial information for internal reviews.

5. Support to the accounting team

  • Gather invoices and supporting documents requested by the accountants for VAT returns and for the auditors.
  • Help keep Business Central master data clean, including archiving and removing duplicate vendors and clients.
  • Support month-end, quarter-end and year-end closes with missing-invoice lists and document collection.

6. Administrative and operational support

  • Act as a key point of contact for on-site teams on financial expenditures and revenues.
  • Register travellers staying at our properties in Spain, based on the documentation received.
  • Follow up with utility and service providers so that invoices are issued to the right entity and received on time.
  • Keep the finance archive in order, both digital and physical (Finance storage cabinet).
  • Support Finance and Operations with administrative tasks, including the logistics of team events.
  • Document the processes you run in Notion and suggest improvements to the Finance Operations Manager.

KEY INFORMATION

  • Employment start: as soon as possible.
  • Permanent contract (indefinite Spanish contract), full time, entry level job.
  • Based in Barcelona, at the office on Tuesdays and Wednesdays; home office possible on Mondays, Thursdays and Fridays.
  • Access to confidential information (payments, supplier and owner data, guest personal data): confidentiality and data-protection rules apply in full.
  • Priorities are set with the Finance Operations Manager; payment and month-end deadlines take precedence.
  • The recruitment process is the following :
    • Step 1: Screening call for selected candidates
    • Step 2 : Video interview with our Finance Operations Manager and HR
    • Step 3 : Video interview with our Group Financial Controller
    • Step 4 : Reference Check

  • Los puestos de la empresa suelen ser prácticos y orientados al cliente, lo que puede ser ideal para internacionales que buscan construir una carrera en la gestión de hostelería de alta gama.
