Provide administrative support to the Quality Department, ensuring proper document management, process monitoring, and record updating, while contributing to compliance with internal procedures and food quality and safety regulations.

What you'll do

Main duties and requirements.

  • Manage and keep the Quality Management System documentation up to date.
  • Register, file, and control procedures, instructions, records, and reports for the department.
  • Provide administrative support in preparing for internal, external, and certification audits.
  • Manage the documentary follow-up of incidents, non-conformities, and corrective actions.
  • Coordinate the collection of documentation with different departments and sites.
  • Prepare reports, monitoring charts, and indicators for the Quality area.
  • Manage databases and ensure proper traceability of documentation.
  • Provide administrative support in managing suppliers, laboratories, and certification bodies.
  • Provide support in organizing meetings, training, and projects for the Quality Department.
  • Collaborate in improving and digitalizing administrative processes in the area.

Requirements

  • Education: Higher Vocational Training in Administration and Finance, Administrative Management, Executive Assistance, or equivalent qualification. Additional training in Quality Management, Food Safety, or Management Systems will be valued.
  • Experience: Minimum 2 years of experience in administrative roles, preferably in Quality departments, the food industry, or industrial environments, performing document management, administrative support, and process coordination duties.
  • Skills: Advanced proficiency in Microsoft Office, especially Excel; experience in document management and filing; knowledge of SAP or other ERP systems and quality management systems (ISO 9001, IFS, BRCGS, or FSSC 22000) is a plus. A B1 level of English will be valued.
  • Competencies: Organized, methodical, and rigorous individual with strong planning skills, attention to detail, service orientation, communication skills, teamwork ability, proactivity, initiative, and the ability to manage multiple tasks simultaneously.
