About the role

Do you have experience in industrial administrative environments and are you looking to give your professional career a boost with a world leader? At Randstad we are selecting a motivated Administrative Assistant for Logistics and Purchasing to join on a temporary basis the dynamic team of a top-tier multinational. This opportunity will allow you to immerse yourself in a corporate environment focused on technological transformation, where each of your actions will have a direct impact on the supply chain and on the satisfaction of large-scale clients. If you are passionate about logistical precision, procurement management, and multilingual environments, this position offers you the ideal setting to enhance your professional skills, work with advanced digital tools, and expand your professional network in a sector in constant growth and technological evolution.

What you'll do

As an Administrative Assistant for Logistics and Purchasing, your main mission will be to provide comprehensive support to logistical, administrative, and purchasing flows, ensuring informational and operational fluidity between the warehouse, the technical sales department, and suppliers. Your responsibilities will be structured as follows:

Document Management and International Compliance: You will carry out meticulous control of logistical paperwork. This includes rigorously cross-checking delivery notes and invoices for incoming mechanical and electronic components against purchase orders in the computer system to avoid discrepancies. Likewise, you will manage consignment notes (CMR) and safeguard documentation from national and international carriers, ensuring that each record scrupulously complies with the multinational's ethical and quality standards.

Procurement Support (Technical Purchasing): You will support purchasing management by quickly entering purchase orders for materials or spare parts requested by engineers or plant managers into the ERP system. You will track delivery deadlines by communicating with European logistics hubs and international suppliers (usually through correspondence in English), issuing early alerts about potential delays affecting the supply chain.

Logistics Coordination and Warehouse Flow: You will keep the inventory updated by recording in real time the incoming and outgoing movements of motors, valves, and frequency converters in the system. You will manage operational incidents upon receipt of defective, incomplete, or technically discrepant materials, processing returns or claims, and you will coordinate with approved transport agencies the pickup and delivery time slots at key locations such as Madrid, Catalonia, or the Basque Country.

Commercial and Internal Administrative Support: You will act as a key communication bridge between the technical sales department and warehouse staff to expedite shipments. You will handle internal inquiries about the status and location of technical component shipments and will keep corporate databases regarding carriers, rates, and transit times permanently updated.

What you'll get

Compensation: A competitive salary of 16.90 euros gross per hour worked.

How you'll work

Working Day and Schedule: Temporary reinforcement contract with a flexible morning shift, with an entry time to choose between 9:00 AM and 10:00 AM, facilitating personal and professional balance.

Work Environment: Integration into an international, cutting-edge, digitalized work environment with a healthy, cooperative working climate and great prestige in the industrial market.

Randstad Support: Continuous support from our specialized selection consultants throughout the entire onboarding and integration process at the client company.

Requirements

To successfully perform the role of Administrative Assistant for Logistics and Purchasing, we are looking for a professional who meets the following academic and professional characteristics:

Academic Background: Qualification from a Vocational Training program at Intermediate or Advanced Level in Business Administration, International Trade, Logistics Management, or an equivalent university degree.

Work Experience: Demonstrable previous experience (minimum 1 to 2 years) in administrative support functions within purchasing, logistics, procurement, or customer service departments in the industrial sector.

Language Skills: Fluent command of English (verifiable B2 intermediate-advanced level), with particular skill in writing emails and technical written communication with international suppliers.

Digital Skills: Proficiency in integrated business management systems (corporate ERPs such as SAP, Oracle, or similar) and command of office tools, especially spreadsheets.

Personal Skills: Excellent attention to detail for handling technical part references, digital agility, proactivity, and a high capacity to work in an organized manner in environments with peak activity.
