About the role

Position objective

Provide administrative, financial, and operational support to the Network Development area, ensuring proper management and follow-up of implementation projects in the dealer network.

The person will be responsible for coordinating administrative flows between Purchasing, Network Development, dealers, and suppliers, ensuring proper processing of orders, budget control, payment orders, invoicing, and documentation associated with projects.

What you'll do

Purchasing and supply cycle management

  • Manage and carry out administrative follow-up of orders requested by dealers.
  • Validate that orders requested by dealers correspond to the needs and conditions defined for each project.
  • Act as the administrative liaison with suppliers, following up on delivery deadlines, documentation, and invoicing.
  • Provide administrative support to dealers during project implementation, resolving queries and facilitating coordination with the relevant contacts.
  • Keep information on order status, deliveries, issues, and pending documentation up to date.

Financial control and compliance

  • Manage and control the overall budget assigned by the client for each dealer project.
  • Monitor spending, identify potential budget deviations, and ensure costs align with approved amounts.
  • Manage incentives for dealers in accordance with the available annual budget.
  • Create and process payment orders through the client's platform.
  • Administratively manage payments to suppliers and dealers once project implementation is complete and the necessary documentation has been validated.
  • Collect, review, and archive budgets, orders, invoices, payment orders, and other administrative documentation associated with each project.
  • Act as a link between Purchasing and Network Development to facilitate proper administrative, budgetary, and documentary management of projects.

Network coordination and operational support

  • Serve as the administrative point of contact for dealers, suppliers, and internal teams.
  • Support the Network Development team in preparing and updating project, order, budget, payment, and issue reports.
  • Keep departmental records and tracking tools up to date.
  • Identify administrative issues or bottlenecks and follow up with the parties involved until resolution.
  • Contribute to eliminating administrative bottlenecks that may affect project deadlines.
  • Enable the Network Development team to focus on strategic and technical functions by taking on the operational and administrative management associated with projects.

Project management

  • Coordinate the development of data tools for results analysis.
  • Coordinate dealer network incentive programs.
  • Generate/analyze reports on the evolution of dealer network results.

Requirements

Required profile

  • Education in one of the following areas: Architecture, Technical Architecture, Building, Interior Design, Civil Engineering, Industrial Design Engineering, or related disciplines. Higher-level vocational training in Building Projects, Civil Works Projects, or Design will be valued.
  • Minimum of 2 years of experience in administrative functions, purchasing management, supplier follow-up, budget control, invoicing, payments, or project coordination.
  • Proficiency in office tools, especially Excel, Outlook, and PowerPoint.
  • Minimum English level B2, both written and spoken.
  • Ability to manage different tasks, contacts, and deadlines simultaneously.
