The role
We have multiple open roles at the moment. Please submit an application for the role you feel you are the strongest fit for. You will have the opportunity to declare interest in other roles below, and we will consider your application for all the roles you express interest in.
About the role
We're a new AI safety organization called Quorum. Our mission is to advance research and public understanding of the safety and societal implications of emerging technologies, with a particular focus on artificial intelligence. We run the Summit on Existential Security, the AI Horizons Forum and will be building a portfolio of events for the AI safety ecosystem.
Our events have a strong track record of impact by facilitating critical connections and strategic coordination among people working on AI safety. As a result of our events, attendees have founded new organizations, launched new research initiatives, expanded their teams, and secured funding for their projects. Attendees consistently report that the events are a better use of their time than the counterfactual, and senior figures in AI safety regularly pause their day-to-day work to participate.
We're hiring Associates to help us deliver our events, a broad role on a small team. You'd work across several projects from the start, and own a range of responsibilities. Depending on which events you work on, you would be managed by one of our project managers or by a program lead.
Responsibilities
This role spans several areas. Which ones you focus on depends on your strengths and the team's needs at the time.
Onsite support
You'll be the support staff at most of our events, so a good part of this role is being an extra pair of hands on the day and making sure things run smoothly.
Handle the inbox and send attendee communications in the lead-up to and during the event.
Prepare, transport, and track inventory, including picking things up and returning them.
Prepare and turn around rooms: layout, signage, materials, and AV checks.
Coordinate other onsite staff: setting shifts, assigning tasks, and keeping people pointed at the right things.
Production and logistics
Support production for workshops and smaller events: sourcing and coordinating vendors, planning rooms and materials, producing signage and badges. You might own some event production workflows from start to end, such as furniture, rooming and catering arrangements.
Help with venue research, site visits, setting up and taking down the venue.
Track inventory and spend against budget
Systems and data
Keep our attendee database accurate and tidy, and handle attendee data responsibly.
Build and maintain views, forms, and simple automations in Airtable for the events you support.
Document how things work so others can pick them up.
Attendees and admissions
Support admissions for our events: ruling out clear rejections, flagging applications for a second opinion, and giving input on borderline calls.
Manage the events inbox, handling attendee correspondence and escalating what needs a colleague's judgment.
Coordinate travel and accommodation for attendees, including bookings, visa letters, and the inevitable last-minute changes.
We're scaling quickly, and we'd expect the role to scale with us. If you perform well, you could progress quickly and take on more. This could look like owning more production workstreams end-to-end, taking on venue sourcing and vendor negotiation, and owning the systems and databases behind a set of events.
If you have AI safety context, or build it in the role, you could also take on more of the admissions decisions, get involved in shaping content, and work directly with the people and organizations our events are for. How quickly any of this happens depends on how fast we grow and where your strengths lie.
About you
You might be a great fit if you:
Are organized across multiple threads. You track detail across several projects at once, see all the steps a task involves and back-plan from the deadline, catch errors, and follow through on the small things.
Execute reliably with little oversight. You take a defined task and get it done well, including the unglamorous work that makes events happen.
Are comfortable with data and systems, especially Airtable. You work cleanly in them and keep things tidy.
Are resourceful and cost-conscious. You find sensible solutions, support vendor and venue discussions, and keep an eye on spend.
Communicate clearly and build good relationships with vendors, venues, attendees, and teammates.
Thrive in a fast-paced, high-standards environment. You're comfortable making sensible calls within your scope.
Have AI safety context, or the appetite to build it. Enough of a picture of the landscape to tell a plausible attendee from an obvious no, or the motivation to get there.
Role details and benefits
