About the role

Are you passionate about working within the B2B team, ensuring effectiveness and continuous improvement of the channel's administrative processes?


At Freshly Cosmetics we are looking for a Commercial Administration role to join our team and ensure operational excellence in the Key Accounts channel.

Your mission will be to ensure that the flow of order management, invoicing, and logistics operations runs accurately, efficiently, and scalably. But we are not just looking for someone to manage day-to-day tasks: we are looking for a person with initiative, analytical skills, and a process-oriented mindset, capable of detecting inefficiencies, proposing solutions, and leading their implementation to continuously improve the way we work.

You will be a key figure in the connection between Key Accounts, Back Office, and Logistics Operations (KA ↔ BO ↔ LO), working cross-functionally with different teams to ensure operational continuity and evolve processes as the business grows.

What you'll do

· Process orders accurately: stock availability, compliance with minimum logistics requirements, and correct invoicing.

· Monitor and control channel materials: traceability, correct allocation, and replenishment.

· Keep process documentation complete, standardized, and up to date.

· Act as the operational link in the KA ↔ BO ↔ LO flow, ensuring continuity of information.

· Collaborate with Key Account Managers and relay operational order and invoicing documentation to the client, keeping the KAM informed.

· Update sales team documents, investments, and centralized costs.

· Coordinate with Finance and Supply Chain to ensure integration of operations and proper continuity of processes.

· Identify, propose, and implement process improvements and automation of daily tasks.

What we're looking for

  • University degree in Business Administration, Economics, Finance and Accounting, Commerce, or a related field.

  • Experience in commercial operations, order management, commercial administration, or B2B order processing, working with ERP (Business Central or similar), advanced Excel, and invoicing, reconciliation, and commercial terms processes, including managing the impact of discounts within and outside invoicing.

  • Knowledge of B2B logistics processes (palletization, parcel shipping, EDI) and their impact on the correct and smooth flow of orders.

  • Experience or interest in process improvement, optimization, and automation, as well as in standardizing ways of working.

  • Analytical skills to identify problems, understand their root causes, and propose actionable solutions, with autonomy, ownership, and a proactive, results-oriented, continuous-improvement mindset.

  • Strong communication and coordination skills with different stakeholders, with the ability to drive improvement initiatives across functions, even without direct managerial authority.
