The role
A training internship oriented towards learning operational administrative support functions under the supervision of the Senior Director of Corporate Affairs in Spain. The individual will carry out their training through calendar management, expense processing, meeting coordination, and general administrative support. This constitutes a learning opportunity in a corporate environment for a student pursuing studies in executive assistance, secretarial studies, or equivalent disciplines, with an organized, detail-oriented profile and proficiency in office and AI-based productivity tools.
What you'll do
- Manage and coordinate the Director's calendar, including scheduling internal and external meetings, optimizing time planning, and resolving calendar conflicts.
- Process expense reports, travel bookings, and reimbursements in accordance with internal policies and tools.
- Prepare, format, and organize documents, presentations, and materials for meetings, using Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and AI-based productivity tools.
- Maintain organized department files, contact lists, and shared repositories, ensuring that information is accessible, up-to-date, and properly archived.
- Provide first-level administrative support for visits, events, and interactions with external stakeholders managed by Corporate Affairs.
- Coordinate the logistics of internal and cross-functional meetings led by Corporate Affairs, including preparation of agendas, minutes, and follow-up on actions.
- Maintain communication with other administrative teams of the affiliate (HR, Finance, Facilities) to ensure the correct execution of department processes.
- Support the Director in routine internal communications, drafting standard correspondence and following up on pending matters.
