We are looking to hire an Assistant Event Project Manager for our Bilbao offices, who will be a key figure in the planning, coordination, and execution of international events and projects.

The role involves working transversally with multiple teams (production, creativity, marketing, operations, finance, and external suppliers), ensuring that projects are developed on time, in the correct manner, and within budget by coordinating resources, anticipating possible deviations, and providing operational support to the teams' day-to-day activities.

You will be responsible for keeping project information updated and structured, tracking timelines, costs, and operational needs, and guaranteeing fluid communication between all parties involved.

Additionally, you will collaborate closely with the heads of each area to align objectives, priorities, and deadlines, providing a global vision, order, and the capacity for resolution and decision-making in the dynamic, high-demand environments typical of the elrow ecosystem.

What you'll do

  • Comprehensive preparation, control, and monitoring of budgets, ensuring the fulfillment of economic objectives, cost optimization, and the control of possible deviations until the project's closure.
  • Continuous coordination and communication with promoters, external suppliers, and internal teams during all phases of the project, as well as support in the preparation and monitoring of contracts.
  • Direct support to the Production team and close collaboration with Technical Management in the definition and execution of operational plans.
  • Preparation and coordination of the travel plan and the logistics associated with the events.
  • Management and coordination of the human team assigned to each event, as well as contracted external companies, ensuring correct organization and execution.
  • Preparation and sending of roadmaps, timings, and operational documentation, maintaining fluid communication with the teams involved.
  • Supervision of execution at the event, incident resolution, and real-time decision-making.
  • Preparation of post-event reports and analysis of results, proposing improvements alongside the corresponding departments.
  • Billing control, cost validation, and economic closure of projects.
  • Participation in internal and external coordination meetings, ensuring alignment, follow-up, and correct execution of projects.
