Requirements
What we're looking for
These are the requirements that decide this hire. We will probe each one with specific evidence, so please come prepared with examples.
1. You have supported senior executives in a demanding environment.
You have at least 5 years of experience as an Executive Assistant to a CEO or C-level executive, ideally in an international, fast-moving company. We will ask how you managed competing priorities, what you anticipated before being asked, and how you handled a plan that fell apart at the last minute.
2. You are exceptionally organised and proactive.
You manage complex diaries, travel and events with precision, you think ahead, and you take ownership rather than waiting for instructions. You bring structure, and you know how to keep it when everything changes.
3. You are completely trustworthy.
You handle confidential and sensitive information with absolute discretion and sound judgement, and you know what to share, with whom and when.
4. You communicate exceptionally well.
Fluent English and French are required. You write clearly and professionally, you are comfortable interacting with board members, investors and executives, and you adapt your tone to each audience.
5. You master modern tools.
You are highly proficient in Microsoft 365 (Outlook, Teams, PowerPoint, Word, Excel) and comfortable adopting new digital and AI tools to work more efficiently.
Nice to have
Experience in a private equity backed environment.
Experience in a B2B SaaS, technology or automotive company.
A third European language: Spanish, German, Dutch or a Nordic language.
Experience supporting an executive team or a CEO Office, not only one individual.
The role
Our CEO leads a European company with multiple countries, an Executive Leadership Team spread across locations, a private equity board, and a transformation agenda that touches every part of the business.
You will be the CEO's right hand on organisation and time. You will manage a demanding, fast-changing agenda, prepare and follow up executive meetings, coordinate travel across Europe, and make sure nothing important falls between the cracks.
You will work closely with the Chief of Staff and the executive team, and act as a hub for information, preparation and follow-up across the CEO Office.
This is a proactive role, not a reactive one. You will anticipate before being asked, make judgement calls about priorities, and handle highly confidential information with complete discretion.
The CEO's time is visibly spent on the right priorities, with a diary that is organised, anticipated and resilient to change.
Executive meetings are well prepared, run on time and are consistently followed up.
Executives and partners see the CEO Office as responsive, reliable and discreet.
You have simplified and improved how the CEO Office works, with routines and tools others rely on.
What you'll do
As a key member of the team, you will be responsible for:
Agenda and time management. Owning the CEO's diary end to end: prioritising requests, protecting focus time, resolving conflicts and adapting quickly when plans change.
Executive meetings. Organising Executive Leadership Team meetings, offsites and governance routines: scheduling, agendas, materials, logistics, minutes and follow-up of actions.
Travel and logistics. Planning and managing complex travel across Europe and beyond, including itineraries, visas where needed, accommodation and expense reporting.
Communication and preparation. Preparing briefing notes, presentations and documents, filtering and prioritising incoming requests, and drafting correspondence on the CEO's behalf.
Stakeholder relationships. Acting as a trusted point of contact for executives, board members, investors, customers and partners, and representing the CEO Office with professionalism.
Events and projects. Organising leadership and company events, supporting special projects led by the CEO Office, and continuously improving how the office works, including through AI and digital tools.
