Vacancy: Planning and Forecasting Technician at the Patient Operations Center, afternoon shift.

Location: Madrid.

What you'll do

Among the main duties, we can mention:

Contribute to achieving maximum operational performance in the services/departments, through service/department sizing, optimizing the distribution of human resources according to service levels and the activity forecast established in the COP.

Ensure an effective distribution of workloads, as well as the timely handling of the different channels (rescheduling, emails, etc.), ensuring the best patient/client experience and maximizing operational performance.

Act proactively in the management, control, and monitoring of established breaks and rest periods, shifts, overtime and additional hours, training/feedback windows, vacations, and permits, ensuring compliance in an orderly and efficient manner.

Contribute to the preparation and communication of qualitative and quantitative management reports to Middle Management and COP Management, with the aim of providing information that facilitates decision-making and improves team performance.

Contribute to the analysis of services/departments to assess current and future human resource needs, through the management of requests for hiring new agents, as well as requests for extending or reducing working hours, contract termination, ensuring efficient operation and achievement of the KPIs established in the COP.

Carry out activity forecasting for the different services/departments of the Patient Operations Center (COP), aimed at effectively achieving the established KPIs.

Optimize the distribution of human resources across the different services/departments of the COP, taking into account both internal activity (training, emails, callbacks, etc.) and that of each hospital center, as well as the distribution of workloads across the various channels, adjusting them to the established service levels and complying with the procedures and guidelines set by the organization.

Propose and apply preventive strategies to ensure compliance with objectives related to service level (SLA), average handling time (AHT), adherence, and productivity.

Analyze historical indicator results on a daily basis, comparing planning against actual performance, in order to identify and correct the causes of any deviation.

Verify monthly and annual historical indicators to detect and correct deviations in forecasts and carry out proper sizing of the service/department.

Establish, update, and communicate shifts, authorizations, as well as the distribution of vacations and leave to staff, in accordance with established criteria, ensuring adequate coverage of service/department needs at all times.

Monitor actual hours against planned hours to control any deviation, including absenteeism incidents.

Manage requests for hiring new agents, as well as extension, reduction of working hours, or contract termination, ensuring that resources align with the needs established in the service/department.
