As an Assistant, you will join a team whose mission is to manage and lead the support functions needed for innovation and technological development, enabling the achievement of strategic objectives and decision-making in this field.

What you'll do

  1. Management of documentation, agenda, information, phone calls, communications through various channels, and travel bookings, staying ahead of the Director's needs to ensure efficiency and a good corporate image for the department.
  2. Receiving, routing, filtering, and preparing information for the Director to facilitate prioritization of matters to be addressed.
  3. Collaboration with other areas and departments, and management of shared information.
  4. Preparation of management reports.
  5. Management of key received and generated information. Organization of all information required for the department's activities.
  6. Providing support and advice on matters related to their training and experience.
  7. Managing and coordinating the organization of events, meetings, and other activities, including the preparation and distribution of necessary materials.
  8. Booking and managing travel (transportation, accommodation...), including travel expense settlement.
  9. Support in budget preparation and monitoring (UPAS), as well as in managing purchase requests and associated invoices.

Knowledge and previous experience

  • A minimum of 3 years of experience in secretarial or executive assistant roles is essential.
  • A fluent level of English, both oral and written, is essential.
  • A high level of proficiency in computer tools (Excel, Word, PowerPoint, Teams) is essential.
  • Training relevant to the responsibilities described and experience in the energy and innovation sector will be valued.
