The role

Your main mission will be to ensure that our stores have the documentation, services, suppliers, processes, and requirements necessary to operate correctly on a day-to-day basis, by following up with Store Managers and coordinating with the different HQ departments.

This will be a role very oriented towards Retail Back Office: organization, follow-up, and incident resolution. You will be that person capable of connecting the dots between stores, Retail, People, Finance, Logistics, IT, Brand, and external partners to ensure that things happen and are correctly closed out. Retail Operations is a completely transversal area; you will work constantly with other departments to ensure that store needs are resolved from start to finish.

Additionally, you will participate in the construction and standardization of our operating processes to accompany the international growth of TwoJeys.

What you'll do

  • Provide support to the Head of Retail in the daily administrative and operational management of our store network.

  • Follow up on documentation, contracts, certificates, licenses, and other operating requirements for each store.

  • Ensure that all stores have the necessary insurance, documentation, and services and that these are up to date.

  • Keep the Retail department's databases, files, calendars, and documentation organized and up to date.

  • Coordinate with Store Managers to follow up on pending documentation, operational needs, and incidents.

  • Provide administrative support for openings, operational changes, and other projects related to the store network.

  • Follow up on tasks and deadlines, ensuring that the different open items are correctly closed out.

  • Your role will often be to connect the dots, follow up, and ensure that nothing falls through the cracks.

  • Follow up on the operating and regulatory requirements applicable to stores in each market.

  • Work together with People to ensure compliance with OHS (Occupational Health and Safety) and other requirements related to store teams.

  • Follow up on mandatory courses, training, certificates, and documentation that must be completed or signed by employees.

  • Coordinate with Store Managers the collection and updating of necessary documentation.

  • Provide support in the management and follow-up of the suppliers and services necessary for the operation of the stores.

  • Coordinate suppliers for cleaning, alarms, security, maintenance, and other operating services.

  • Follow up on contracts, renewals, incidents, and documentation associated with each supplier.

  • Help unify suppliers and processes between stores whenever possible.

  • Ensure that each store has its active suppliers and services identified and correctly documented.

  • Participate in the creation and updating of the Store Operating Manual (SOP).

  • Document processes and procedures to achieve an increasingly homogeneous way of working between stores and markets.

  • Help create checklists, templates, and tools that facilitate operational follow-up.

  • Provide support in updating onboarding and training materials for store teams.

  • Collaborate in the implementation of new tools, devices, and processes, as well as reports or reporting software.
