The role
What you'll do
Administrative and/or secretarial support in areas of the railway sector, providing support in document management at the Client's office, as well as in the execution and monitoring of the area's activities.
1. Administrative support in document management, performing some of the following tasks at the Client's office: Registration and control of incoming and outgoing documentation, organization, monitoring, and sending of different types of documentation, review and sorting, digitization, uploading documents to the e-signature platform and/or to
SharePoint, preparation of periodic notes and reports, sending of weekly reports, as well as management and processing of the corresponding mailbox.
2. Other tasks at the Client's office: Administrative support in archive organization and all those tasks necessary for its normal development (cataloging, shelving, labeling for shipment), incident management and processing, organization of meetings and appointments, as well as administrative support
in filing complaints for theft of material.
3. Management, processing, and monitoring of the administrative part of files at the Client's office: requesting pending and/or complementary documentation, making photocopies, typing and scanning, printing, registration, data verification, transfer of files, project registration, organization and maintenance of
files, support in the economic management of files, etc.
4. Administrative support in the management, monitoring, and control of activities at the Client's office: certifications, deadline extensions, settlements, registration and updating of documentation in Databases, obtaining and accounting for data, economic monitoring of various contracts, filing of invoices, control of
expenses and preparation of administrative reports, as well as preparation of presentations.
