  • 1-3 years of experience in Facilities Management, Office Administration, Workplace Services, Logistics, Inventory Management or a related field.

  • Fluent Spanish and English.

  • Knowledge of facilities operations and maintenance coordination.

  • Basic understanding of workplace health and safety practices.

  • Experience with inventory management processes.

  • Proficiency in Microsoft Office, particularly Excel.

  • Strong organisational and planning skills, with great attention to detail.

The role

As a Facilities Specialist, you will support the day-to-day operation of our workplace facilities, ensuring a safe, functional and efficient environment for employees and visitors. You will coordinate facility services, support maintenance activities, manage vendor interactions and oversee the inventory, replenishment and distribution of operational consumables.

What you'll do

Facilities operations

  • Support the daily management of facility operations.

  • Conduct regular workplace inspections to identify maintenance, safety, housekeeping or operational issues.

  • Coordinate corrective and preventive maintenance with internal teams and external service providers.

  • Support emergency preparedness processes and business continuity initiatives.

  • Ensure compliance with company policies, health and safety standards and workplace regulations.

Consumables and inventory management

  • Manage and monitor inventory levels of warehouse consumables, keeping accurate records.

  • Create purchase requisitions and coordinate replenishment orders based on demand forecasts and minimum stock requirements.

  • Receive, inspect and register incoming deliveries.

  • Coordinate the distribution of consumables to internal stakeholders and departments.

  • Analyse consumption trends to identify opportunities for cost optimisation and waste reduction.

Vendor and service coordination

  • Support the management of contractors and service providers, monitoring their performance against agreed service levels.

  • Coordinate access, permits and operational requirements for maintenance activities.

  • Maintain records of contracts, service reports and compliance documentation.

Administrative support

  • Maintain accurate facility documentation, reports and asset records.

  • Support budgeting by tracking facility-related expenses and purchase orders.

  • Generate periodic reports on maintenance activities, service requests and consumables usage.

  • Assist in implementing workplace improvement initiatives.

  • Service request resolution time.

  • Facility inspection compliance rate.

  • Consumables stock accuracy and on-time replenishment rate.

  • Inventory value optimisation.
