What you'll do

Under the supervision of the Facilities Director and the Maintenance Manager, you will provide administrative support to the department, ensuring the correct management, tracking, and closing of orders and their corresponding documentation. Your main responsibilities will be:

  • Generate and process purchase orders for the Maintenance department in accordance with identified needs and the hotel's internal procedures.

  • Track orders from creation to delivery, maintaining fluid communication with suppliers and the internal team.

  • Verify order status, expected delivery dates, and possible incidents, performing the necessary follow-up until full resolution.

  • Coordinate with suppliers and involved departments to ensure that requested materials and services are received correctly.

  • Register and update order information in the Adaco system, ensuring that receipts are correctly recorded and finalized.

  • Keep documentation associated with each order organized and up to date, including quotes, purchase orders, delivery notes, and any other necessary documentation, in accordance with the department's internal filing system.

  • Check that each order is completely closed, both at a documentary and administrative level, avoiding pending orders or unregistered documentation.

  • Keep internal records related to orders, suppliers, and department purchases up to date.

  • Provide support in the preparation of reports and tracking lists, providing the team with an updated view of the status of pending and completed orders.

  • Collaborate in the improvement and organization of the department's internal administrative processes, especially regarding order control and traceability.
