The role

Here in Madrid, our teams build the innovative, high-fidelity experiences that power this global ecosystem. We are a community where creativity thrives, diverse perspectives are welcomed, and every team member plays a meaningful part in our story.

Our Madrid studio is looking for an organized Production Coordinator to join us on a part-time basis (20 hours per week). In this on-site role, you will report directly to the Studio Director. Because game development moves across distinct project stages, you will collaborate with teams across multiple studio projects and daily operations.

  • Game Swag & Merchandise Management: Manage the sourcing, inventory, packing, and distribution of official game merchandise, milestone gifts, launch kits, and studio apparel for our teams and external partners.

  • Mail & Package Intake: Coordinate incoming and outgoing deliveries for the team, logging packages and routing production equipment to the appropriate groups.

  • Team & Studio Events: Plan, budget, and organize internal events, team-building activities, and milestone celebrations that build a welcoming team environment.

  • Meeting Logistics & Catering: Help organize recurring all-hands meetings, town halls, and partner visits. Coordinate lunch catering, dietary preferences, and room bookings.

  • Team Culture: Partner with Workplace Experience on studio-branding projects, anniversary recognitions, and health and wellness events.

  • Vendor Coordination: Communicate with, and maintain relationships with external suppliers (printers, merchandise manufacturers, caterers, and venues).

  • Purchasing & Invoicing: Create Purchase Orders (POs), track statements of work, process invoices, and assist with vendor setup in EA financial systems.

  • Corporate Card & Expense Reconciliation: Reconcile team expenses, review and submit corporate travel expenses, and process monthly corporate card statements. Guide team members on expense tools and company policies.

  • Supply Inventory: Maintain inventory levels for team supplies, snacks, peripherals, and event materials, restocking items.

  • Meeting Facilitation & Notes: Schedule meetings, set up conference room technology, capture clear meeting notes, and track follow-up items.

  • Travel, Itineraries & Visas: Support production leadership with coordinating travel itineraries, booking travel arrangements, preparing travel letters, and handling visa coordination.

  • Documentation & Knowledge Sharing: Maintain studio guides, team FAQs, distribution lists, and team collaboration platforms.

  • IT Escalation & Support: Help team members submit or follow up on IT and Facilities service desk tickets to keep equipment setup running smoothly.
