As a Marketing Assistant, your role will be to provide operational and administrative support to the Marketing department, ensuring the correct management of internal platforms, vendor processes, and cross-functional coordination with key areas (Legal, Compliance, Medical), guaranteeing compliance with internal procedures and applicable regulations.

• Administration of corporate tools for event management, speaker contracting, and expense management across the company's various therapeutic areas
• Monitoring of the approval and validation flow in the systems.
• Onboarding of new vendors ensuring documentary compliance (in coordination with Legal and Compliance).
• Periodic renewal of vendors on platforms. Onboarding, updating, and maintenance of vendors on internal platforms.
• Coordination with Purchasing for tactical validation of vendors.
• Liaison with internal departments to ensure compliance with corporate policies.
• Logistical planning and coordination of Marketing & Sales department events (meetings, training, congresses, promotional activities, etc.).
• Comprehensive attendee management: Preparation and updating of lists. Sending invitations and communications. Follow-up on confirmations. Coordination of registrations and attendance.
• Direct liaison with vendors involved in events (agencies, venues, catering, technology, etc.).
• Ensuring correct operational alignment with vendors: Validation of needs and scope of service. Follow-up on timings and deliverables. Control of execution according to what was approved.
• Management of the full expense request cycle. Creation and management of expense baskets:
  • Request and integration of budgets.
  • Coordination of internal approvals.
  • Registration and accounting of expenses.
• Monitoring of activity status and budgetary control.
• Continuous coordination with:
  • Legal: contractual validation and compliance.
  • Compliance: adequacy to internal and regulatory policies.
  • Medical Department: validation of activities when applicable.
  • Purchasing: approval processes and vendor management.
  • Accounting: correct imputation and financial monitoring.
• Monitoring of Marketing department invoices.
• Support in the accounting of expenses.
• Control of deviations and basic reporting.
• Collection and organization of evidence for:
  • Internal audits
  • Compliance audits.
• Ensuring the documentary traceability of all processes.
• Strict compliance with internal and external regulations.
