About the role

The Germà Tomàs Canet Foundation of the Hospitaller Order of Saint John of God is a non-profit organisation whose mission is to accompany people in situations of vulnerability and at risk of social exclusion through the management of programmes and services aimed at improving quality of life and social integration.

It is currently seeking a Grants and Other Income Accounting Assistant. The mission of this position is to administratively and accounting-wise manage public and private grant files, ensuring compliance with the economic and documentary requirements of the calls, as well as their proper execution, monitoring, justification and audit, coordinating with the different areas of the organisation to ensure the proper sourcing and application of subsidised resources.

What you'll do

Reporting to the Area Coordination, the responsibilities are:

1. Grant management

  • Prepare and keep up to date the annual calendar of public and private grants, ensuring compliance with the deadlines for application, execution and justification.

  • Analyse the regulatory bases, agreements and requirements of the calls to ensure proper administrative and economic compliance with the justifications.

  • Coordinate with the different areas and services of the organisation to ensure the execution of projects in accordance with the conditions established by the funding bodies.

  • Account for expenses and income related to subsidised projects.

  • Support the economic monitoring of projects and verify the correct allocation of eligible expenses.

  • Control, organise and safeguard the supporting documentation (physical and digital) generated during the execution of projects.

  • Support the monitoring of requirements, resolutions and communications from funding bodies regarding justifications.

  • Maintain the relationship with public administrations, private funding entities, auditors, advisors and other agents involved in the grant justification management cycle.

2. Grant justification

  • Verify the eligibility of expenses charged to subsidised projects by reviewing invoices, contracts, payment receipts and other supporting documentation.

  • Prepare the economic justification accounts and the documentation required for each call.

  • Prepare the documentation required in the economic audit processes of projects that legally or contractually require it.

  • Support the submission of justifications to the corresponding bodies.

  • Handle requirements, amendments and verification actions arising from the justification processes.

3. Management and accounting of other income

  • Issue the corresponding invoices to public and private bodies in accordance with agreements, contracts or services provided.

  • Manage and resolve issues related to invoicing.

  • Account for the organisation's income and monitor it.

  • Carry out the control and reconciliation of debtor balances.

  • Manage the monitoring of collections and claims, where applicable.

  • Prepare and keep up to date the monitoring tables for the customer and other debtor portfolio.

4. Accounting and administrative support

  • Carry out accounting and bank reconciliations.

  • Manage bank payments according to established procedures.

  • Support the accounting team in the monthly and annual closing processes.

  • Collaborate in the preparation of external audits and internal review processes.

  • Support the finance area during periods of absence, reinforcement or exceptional service needs.

These duties are carried out using the NAVISION management system, in a demanding environment subject to compliance with the SII (Immediate Supply of Information) and with a high volume of operations linked to the management and justification of grants.

  • Working hours: Full-time, 38 hours/week

  • Schedule: Monday and Wednesday from 08:00 to 17:00 and Tuesday, Thursday and Friday from 08:00 to 15:00.

Qualification
