Switchboard Operator

Technical Knowledge and Tools

• SAP Proficiency: Experience in the creation and validation of invoice orders within the system.
• Tickelia Handling: Ability for the validation and control of travel expense reports.
• Use of Microsoft Teams: Skill in document management and organization of invoices on the platform.
• Vendor Platforms: Familiarity or experience in user and order management in tools such as Carlson, HRS, JoinUp, and Lyreco.
• Shared Environment Management: Organized handling and maintenance of network files (such as Folder N:).

Experience and Operational Competencies

• Telephone Assistance and Switchboard: Previous experience in handling telephone switchboards and call filtering.
• Communication Protocol: Ability to rigorously apply protocols for attending to the media.
• General Services (SS.GG.) Management: Experience in the coordination of internal resources, such as room reservations and the control of the company vehicle fleet.
• Responsibility and Trust: Commitment to strictly assume the updating of critical passwords and the physical closing protocol of the store.

The main purpose of this position is to guarantee the operational efficiency and correct daily functioning of the headquarters, acting as the communication and administrative support hub for the General Services (SS.GG.) department.

The selected person will be responsible for the comprehensive management of the switchboard, handling key protocols with the media, and coordinating corporate digital tools (such as SAP, Teams, Tickelia, and vendor platforms like Carlson, HRS, Joinup, or Lyreco). Likewise, they will assume control of the company's shared resources, supervision of the vehicle fleet, space reservations, and the secure closing of the facilities, ensuring an organized, digitized, and efficient working environment.

• Switchboard and Communication Management: Use of the switchboard, updating telephone directories, application of call protocols for the media, and management of switchboard and general services incidents via CAU.
• Travel and Mobility Platform Control: Processing of registrations, cancellations, and user changes in Carlson, HRS, and JoinUp.
• Document Management and Filing: Uploading Carlson, HRS, and JoinUp invoices to Teams, control of shared files, filing of office supplies, and strict updating of passwords in Folder N:.
• Financial Validation and Purchasing: Validation of travel expense reports in Tickelia, creation and validation of orders in SAP for department invoices, and purchasing along with the validation of office supply orders in Lyreco.
• General Services (SS.GG.) Coordination: Management of the Time2Eat dining app, maintenance of the SS.GG. contact list, room reservations, and control of the department's vehicles.
• Facility Security: Responsibility for the closing of the store.
