We are looking for a person for the role of Office Manager. You will be the one internally responsible for ensuring the THEKER office is always ready to receive any visitor, with or without notice. Your goal is the result: an orderly, clean, well-stocked office where everything works.
You will work in an office with visits, interviews, all-hands, and events, within a small team where every person has real ownership. Your day-to-day combines space inspections, reception, parcels, facilities issues, and vendor coordination. You don't have to do everything yourself. You have to ensure that everything gets done and is resolved excellently.
Guarantee the order and visual standard of all spaces: meeting rooms, reception, kitchen, common areas, and workstations. Perform inspections throughout the day in critical areas and reinforce them before visits and interviews.
Be the internal owner of the external cleaning service: check that it has been executed well, communicate priorities, escalate when the result does not meet the standard, and adjust frequencies according to office usage. Identify when more hours are needed.
Resolve stains, specific incidents, and particular cleanings that arise during the day, and perform periodic deep organizing of cabinets, small storerooms, and the kitchen. Restore degraded areas and subsequently bring them up to the recurring standard.
Maintain the stock of cleaning products and bathroom and kitchen consumables. Control minimums, restock before running out, and know the usual consumption. Ensure that refrigerators, coffee, water, tableware, and appliances are working.
Receive visitors, immediately notify the corresponding person, and leave reception and rooms prepared. Manage parcels, deliveries, pickups, and freight, grant access to vendors, and prevent boxes from accumulating.
Prepare the office for all-hands, events, client and investor visits, large onboardings, photo or video sessions, and workshops.
Detect patterns of clutter and propose layout changes, additional storage, and better signage so that problems do not recur.
You are excited by an ambitious, fast-paced environment. The opportunity ahead of us is enormous and we are going after it with everything we've got.
You want to take on responsibility from the start and deliver with first-class standards for leading clients.
You enjoy testing, iterating quickly, and understanding change as part of learning.
You leave everything better than you found it and do not consider a problem closed until it is resolved.
30-minute introductory call.
Practical exercise to be done in the office, focused on how you would maintain an office standard and resolve its issues.
Final conversation with the Talent team.
These steps can be completed in 7 days.
