The role
Clio is the global leader in legal AI technology, empowering legal professionals and law firms of every size to work smarter, faster, and more securely.
We are transforming the legal experience for all by bettering the lives of legal professionals while increasing access to justice.
What you'll do
Own the company's billing process end to end, across the group's subsidiaries: order approval, invoicing, collections (SEPA direct debits and credit card), and tax compliance through submissions to the SII (Spain's real-time VAT reporting system). The role ensures accuracy, regulatory compliance and on-time delivery. It is the escalation point for complex billing issues and leads continuous improvement and automation of the process, working with other departments to keep the whole cycle consistent.
- Own the billing cycle for multiple legal entities, making sure invoices are accurate and issued on time.
- Review and approve orders according to internal procedures, and set the review criteria for special cases.
- Record, update and verify data in the ERP system (NetSuite) to keep it accurate and complete.
- Resolve complex billing issues and act as the escalation point for the rest of the team.
- Design, run and reconcile SEPA direct debit batches, including mandate management, sending files to the bank and handling returned debits.
- Manage credit card payments and their reconciliation.
- Work with the Collections team on outstanding payments and returned debits.
- Submit records to the SII within the 4-day deadline, with ongoing reconciliation throughout the period.
- Apply VAT and e-invoicing regulations correctly when issuing invoices.
- Support internal and external audits, as well as requests from tax authorities.
- Make sure all of the month's invoices are issued and recorded in NetSuite before close.
- Check that all ARR and its related invoices are booked to the correct period.
- Reconcile and validate our records against external records, such as VAT filings and subsidiary records.
- Work with Customer Support to resolve billing tickets.
- Work with the Sales and/or Revenue Operations teams to confirm the commercial terms, pricing and agreements that apply to billing.
- Handle questions and discrepancies from internal and external clients and resolve them quickly.
- Find the root causes of recurring issues and lead process improvements and automation in NetSuite.
- Review internal billing reports, validating the data and the completed processes.
- Document procedures and internal controls.
- Identify and adopt AI tools that automate repetitive billing tasks and make the process more efficient.
Technical and personal skills
- Strong attention to detail and accuracy.
- Works independently and takes ownership of the process.
- Able to organize and prioritize several tasks at once, especially during month-end close.
- Problem-solving and continuous-improvement mindset.
- Good communication skills, with the ability to influence and align different departments.
- Enjoys sharing knowledge and supporting colleagues.
- Interest in and comfort with AI tools for finance processes, as well as Excel and office software.
