What we're looking for

  • Minimum of 5 years' experience in commercial property management and/or Facilities Management with a solid understanding of property management surveying practices
  • Proven track record in occupier and supply partner management
  • Language capabilities in Spanish or Italian are essential; English proficiency required
  • Valid European driving licence
  • Excellent verbal and written communication skills, with the ability to present to senior stakeholders
  • Project Management experience
  • Knowledge of sustainability practices in property and facilities management
  • Ability to mobilise quickly and support urgent asset onboarding across Spain, Italy and Germany

Nice to have

  • Extensive experience with Yardi Voyager or comparable property management platforms
  • Experience with financial systems such as Oracle or equivalent
  • Familiarity with European industrial real estate and cross-border portfolio management
  • Experience with CAFM systems (Corrigo preferred)

The role

This is a newly created, hybrid role blending both Property Management and Facilities Management disciplines - a unique opportunity for an ambitious professional to take the next step in their career by gaining experience across a European industrial portfolio.

The Property Delivery & Facilities Manager will serve as the primary point of contact for clients across the assigned portfolio, ensuring seamless delivery of all property and facilities services. The role is measured against contractual KPIs and SLAs and carries full accountability for client and occupier satisfaction across all assigned sites.

Initial focus will be on asset on-boarding and mobilisation support, transitioning to full operational management responsibilities.

What you'll do

Phase 1: Mobilisation to "Go Live Day 1" (Immediate Priorities)

  • Conduct joint inspections of each asset and complete inspection reports
  • Support information requests from incumbent managers on operational matters
  • Advise Property Management of transition requirements
  • Support supplier onboarding and temporary arrangements to deliver services where required
  • Support preparation for vacant unit management
  • Discovery on utilities to understand what is currently in place
  • Support with service contract setup
  • Understand services to be delivered for each asset
  • Support with PM Transitions plan
  • Undertake all required meter readings
  • Commence delivery of scope of services
  • Support with implementation of a CAFM system (Corrigo)
  • First point of contact with occupiers and suppliers (aligned to Corrigo solution)
  • Support with oversight of planned works / connect with in-country building consultancy team
  • Immediate relationship building with occupiers
  • Supporting coordination with planned works (not reactive)

Phase 2: Ongoing Operational Management

  • Serve as the primary point of contact for clients, managing all property and facilities-related matters within delegated authority and in line with business plans and client instructions
  • Lead regular communications with occupiers, providing expert advice and guidance on the day-to-day operations of buildings
  • Demonstrate an in-depth understanding of occupiers' lease terms, focusing on estate management implications and the client's service provision obligations
  • Hold regular meetings with Landlords, ensuring lease obligations are being met (e.g. external maintenance, central plant management)
  • Liaise with the site leadership team (Country Manager, HR, Finance, Legal, IT) as required
  • Conduct quarterly asset visits
  • Prepare and distribute Quarterly / Annual Business Review (QBR/ABR) materials to the client's satisfaction
  • Ensure efficient and cost-effective delivery of reactive maintenance and day-to-day services, optimising property and facilities performance
  • Oversee and follow up on all technical maintenance for installations (AC/heating, fire suppression, electrical, HVAC, landscaping, etc.)
  • Conduct site inspections covering daily cleaning, HVAC, and landscaping as part of the Facilities team
  • Proactively monitor and manage vacant/void properties in accordance with management contracts and industry best practices
  • Ensure that contracted resources deliver work to meet duration and quality targets, addressing under-performance issues
  • Establish and operate information systems for effective scheduling and recording of contract work
  • Point of contact for security/alarm response and emergency procedures
  • Organise fire evacuation and first aid training for employees
  • Update and maintain official safety documents; liaise with government authorities as required
  • Oversee financial management of properties, including preparation and monitoring of service charge budgets, quarterly variance reporting and service charge reconciliation, adhering to agreed accounting practices
  • Manage and authorise purchase orders and invoices through the client's Yardi Voyager system in accordance with agreed limits and financial protocols
  • Process and control invoices and work orders; open and monitor budgets in financial systems; prepare and update forecasts
  • Negotiate, renegotiate and maintain contracts with vendors to ensure cost-effectiveness
  • Plan and budget internal fit-out works and technical installations
  • Purchase furniture and organise internal departmental office/space moves as required
  • Develop and maintain high-quality health and safety arrangements, collaborating with key client stakeholders and third parties to ensure compliance with service contracts and industry standards
  • Lead the review and resolution of risks identified in independent Risk Assessments, overseeing JLL's audit process and Site Compliance inspections
  • Manage the submission of insurance claims related to on-site incidents, coordinating with insurers and loss adjusters as needed
  • Demonstrate a strong understanding of Landlord & Tenant repair and maintenance obligations
  • Demonstrate a strong understanding of tenant applications for Licence to Alter agreements, sub-let agreements and assignments
  • Lead the seamless transition of individual properties into the management portfolio, ensuring continuity of service and client satisfaction
  • Manage project activities during built-out phases: liaise with teams, organise work schedules and ensure quality delivery
  • Coach and guide all project teams (sub-contractors, maintenance engineers and commissioning engineers) throughout full project lifecycles
  • Support space evaluation and planning, including updating floor plans in partnership with client architect partners
  • Collaborate with internal specialist teams to ensure all property supplies and services are procured in line with JLL's procurement programme, balancing quality and cost-effectiveness
  • Identify and implement cost-saving measures across JLL operations, client services and supplier relationships, focusing on efficiency improvements and innovative service delivery methods
  • Take responsibility for data integrity within the assigned region, ensuring accuracy and completeness of all property-related information
  • Manage all routine correspondence, utilising and improving standard documents and templates as appropriate
  • Meet all contractual KPIs and SLAs defined within the contract
