As Group Coordinator, you will be responsible for managing and coordinating groups and events at the hotel comprehensively, ensuring an excellent guest experience and compliance with the brand's quality standards.

What you'll do

  • Participate in department briefings and group and Ten Days meetings, sharing key information for the proper operation of events.
  • Internally coordinate and supervise all groups from confirmation to closing.
  • Manage and update group reservations in SAP/TMS and other internal systems following established standards.
  • Review contracts, files, and deposits, ensuring all documentation is properly formalized.
  • Act as the main point of contact for the client once the group is confirmed.
  • Ensure compliance with contractual conditions and report any incidents or modifications.
  • Manage the collection and tracking of deposits and payments established in the contract.
    • Coordinate all services associated with the group or event (rooms, function spaces, catering, and ancillary services).
  • Communicate the necessary operational details to the different departments for the execution of each event.
  • Prepare and review group summaries, banquet event orders (BEOs), and follow-up reports.
  • Coordinate and lead pre-conference meetings with the teams involved.
  • Supervise the proper development of events and ensure compliance with what was agreed with the client.
  • Act as a liaison between clients and operational teams during the group's stay.
  • Anticipate client needs and provide advice to ensure the success of each event.
  • Supervise proper billing and administrative closing of files.
  • Resolve incidents and follow up on them, reporting to the appropriate managers.
  • Prepare budgets and follow up on proposals when necessary.
  • Identify upselling opportunities and promote cross-selling within the company.
  • Participate in site inspections and internal hotel events.
  • Collaborate with the sales team and provide support to other positions in the department when necessary.
