About the role

From Gi Group, we are looking for an Executive Assistant (reporting to Management) for the office of one of our clients located in Madrid.

The mission of the position is to provide direct support to Management and the executive team, ensuring proper organization, coordination, and follow-up of daily activities, with a strong focus on confidentiality, anticipation, and priority management.

What you'll do

Manage and organize the Management calendar, prioritizing meetings and commitments.

Coordinate internal and external meetings: prepare agendas, documentation, and follow up on agreements.

Manage travel and trips (bookings and associated logistics).

Prepare and follow up on executive documentation (reports, presentations, minutes, and summaries).

Screen and manage communications with clients, suppliers, collaborators, and stakeholders.

Follow up on projects and commitments set by Management, coordinating with the departments involved.

Support administrative tasks: document management, control of expenses/invoices related to travel and Management activities, coordination with suppliers.

REQUIREMENTS

University degree or higher vocational training in Business Administration, Executive Secretariat, Management Assistance, Event Organization, or a related field.

Minimum 3 years of experience as an Executive Assistant / Management Assistant / Office Manager or in a similar position.

Experience managing calendars, meetings, travel, and executive documentation.

Proficiency in Microsoft Office (especially Outlook, Excel, and PowerPoint) and document management tools.

Advanced level of English (valuable if there is international communication).

Proactivity, organization, discretion, autonomy, and the ability to work under pressure and with shifting priorities.
