Administrative and Operational Control Specialist

• University degree in Business Administration and Management, Finance, Economics, Logistics, Maritime Operations, Port Management, or similar.
• Previous experience in administrative functions, operational control, finance, invoicing, logistics, or port operations.
• Analytical skills and experience handling operational, financial, and cost control information.
• Knowledge of invoicing processes, cost allocation, supplier management, and operational reporting.
• Advanced proficiency in Microsoft Office, especially Excel.
• Experience with ERP systems, operational management software, or port-specific software will be valued.
• Ability to manage multiple priorities, stakeholders, and operational deadlines.
• Strong organizational skills, attention to detail, and a problem-solving orientation.
• Good communication skills and the ability to interact with internal teams, clients, and suppliers.
• Advanced level of Spanish.
• Experience or knowledge of port, maritime, logistics, general cargo, bulk, or Ro-Ro operations will be valued.

Responsible for supporting administrative, operational, financial, and cost control activities related to vessel operations, port services, suppliers, operational resources, invoicing, operational reporting, and internal systems. The role acts as a liaison between Operations, Management, Finance, Traffic, suppliers, and other internal stakeholders, ensuring the reliability of operational and financial information for decision-making.

• Managing operational administration activities, including service records, cost control, invoicing, and financial reporting associated with vessel operations.
• Coordinating cost studies for bulk, general cargo, and Ro-Ro operations, supporting business profitability and decision-making.
• Supervising and controlling operational resources, including personnel, machinery, transport services, and materials, ensuring proper cost allocation and operational efficiency.
• Supporting supplier management and overseeing the provision of services related to vessel and cargo operations.
• Analyzing operational and financial performance through the preparation of reports, budgets, and profitability tracking.
• Preparing reports for Management and providing analytical support for commercial agreements and client contracts.
• Collaborating with Traffic and Operations teams on cargo release control, customer service, and issue resolution.
• Participating in the development, validation, and continuous improvement of operational and financial functionalities of the PORTOS system (proprietary management system).
