Transversal Support Technician

• Experience level: 1 year

• Higher Level Vocational Training degree, preferably in administration and finance, executive assistance, international trade, administrative management, or similar degrees

• Previous experience in complex administrative processes, internal control, economic-administrative management, or process improvement

• Knowledge of SAP and Salesforce will be valued

• Basic functional English (guideline level A2-B1). Ability to understand simple documentation and emails and to handle basic operational or administrative queries or conversations is necessary.

The mission of the area consists of providing administrative support and assistance to the commercial and operations areas of the aviation fuel sales business in order to guarantee the supply and sale processes to customers.

• Administrative support in account management, invoicing, master data, and customer debt, acting as a link and facilitator between the business and the expert areas of Repsol Global Services

• Management, control, and monitoring of customer prepayments

• Administrative support in internal business audits, providing the necessary information for the verification of controls and sales support processes

• Administrative support in the digitalization of business processes, providing the necessary information for the design of controls and sales support processes

• In general, execution and monitoring of the administrative and operational processes that support the commercialization and supply of aviation fuel, guaranteeing the correct management of customers, suppliers, invoicing, and incidents.

• Integral management of suppliers and associated processes: orders for payments to suppliers, management and control of supplier invoice payments, rebilling to customers for invoices received from suppliers

• Management of OPER errors and supplies held in the supply interface that we receive from into-plane agents to allow for the correct invoicing of fuel to customers

• In case of errors in Salesforce, manual sending of renewals or registration of new contracts with airlines to into-plane agents following tender awards

• Management and updating in Salesforce of customer registrations, installations, customer billing conditions, tax data, and airport contacts (Spain)

• Management via ticketing of customer registrations, installations, and billing changes (Portugal)

• Communication with airports regarding incidents in airline supply operations, delays, and charter flights

• Management and registration of aircraft registrations for General Aviation customers and communication to into-plane agents

• Management of customer claims

• Triage of the business email inbox and distribution of messages to the appropriate areas or people to guarantee their attention

• Registration of customers in the online aviation fuel training

• Management of international nominations for General Aviation customers

• Internal request of reports for customers for their annual account closing audits
