The role

At Grand Hyatt Barcelona, one of the city's newest and most prestigious luxury landmarks, we are looking for a passionate, organized, and service-driven Guest Services Officer - Groups to join our Front Office team.

As a Guest Services Officer - Groups, you will play a key role in ensuring a seamless and personalized experience for group guests staying at the hotel. Specializing in group accommodations and room coordination, you will act as the main point of contact for all operational aspects related to group stays while working closely with the Events team and other hotel departments. This position combines guest service excellence, operational coordination, and Front Office responsibilities, making it an ideal opportunity for hospitality professionals who enjoy both guest interaction and behind-the-scenes organization.

About the Role

As a Guest Services Officer - Groups at Grand Hyatt Barcelona, you are an ambassador of the Hyatt brand and an integral member of the Front Office team, responsible for coordinating group accommodation operations and delivering exceptional guest experiences.

This is an operational full-time position (40 hours per week) offered on a permanent contract, with a schedule aligned to business needs. You will work closely with Events, Housekeeping, Reservations, and Front Office colleagues to ensure a smooth arrival, stay, and departure experience for group guests.

While your primary focus will be the coordination and management of group accommodations, rooming lists, service orders, and related operational requirements, you will also support the wider Front Office operation when required, including guest check-ins, check-outs, and other reception duties.

Key Responsibilities

The Guest Services Officer - Groups is responsible for managing the operational planning and execution of group accommodation arrangements, ensuring all details are delivered according to guest expectations, operational requirements, and Hyatt brand standards.

Responsibilities include, but are not limited to:

  • Coordinate all accommodation-related aspects of group stays from arrival to departure.
  • Manage rooming lists and process all related changes accurately and efficiently.
  • Act as the main Front Office point of contact for group accommodation operations.
  • Ensure smooth group arrivals, departures, check-ins, and check-outs.
  • Work closely with Event Planners regarding group updates, special requests, and operational requirements.
  • Review and execute Operational Summaries (OS), ensuring all agreed arrangements are properly implemented.
  • Coordinate room assignments, room moves, upgrades, amenities, welcome letters, key preparation, early arrivals, and late departures.
  • Confirm accommodation upgrades in coordination with the Events team.
  • Prepare and maintain accurate documentation including rooming lists, service orders, operational summaries, and guest preference records.
  • Monitor daily group room status, including arrivals, departures, occupied rooms, vacancies, and no-shows.
  • Coordinate with Housekeeping, Reservations, Bell Desk, and other operational departments to ensure seamless guest experiences.
  • Anticipate guest needs and proactively resolve issues to ensure guest satisfaction.
  • Participate in operational meetings, including pre-cons, daily briefings, and post-stay reviews.
  • Review and validate group accommodation billing in coordination with the Events team.
  • Support Front Office operations during periods of lower group activity.
  • Ensure compliance with hotel policies, operational procedures, and Hyatt brand standards.
  • Manage last-minute changes with professionalism, flexibility, and a solutions-oriented mindset.
Qualifications & Requirements
