Contract Logistics Administration Specialist

• At least 2 or 3 years of work experience in warehouses, e-commerce, or similar sectors.
• Basic knowledge of English (reading and writing).
• Availability to work 6 days a week according to the established schedule.
• Basic skills in Excel.

This person is responsible for performing administrative functions related to warehouse order preparation, as well as making relevant communications to customers regarding the status of stored materials.
They will act under the guidelines of the Warehouse Operations Manager in accordance with the general logistics policy within the company.

• Manage the preparation, integration, and validation of orders in the Macro and Ciel systems.
• Control delivery notes, stock movements, and resolve inventory discrepancies.
• Maintain communication with customers regarding orders, incidents, returns, and stock inquiries.
• Prepare and manage transport documentation for national and international shipments.
• Coordinate picking and dispatch operations, grouping orders by destination and carrier.
• Confirm dispatches, update inventory records, and file operational documentation.
• Perform customer invoicing, including logistics costs, storage, and additional charges.
• Ensure compliance with quality standards, KPIs, audits, and regulatory requirements, including GxP regulations for pharmaceutical customers.
