What you'll do

  • Provide high-level administrative and executive support to the CEO.
  • Manage and coordinate a complex and frequently changing calendar across multiple time zones.
  • Prioritize and screen incoming communications, including emails, calls, and meeting requests.

  • Prepare meeting agendas, presentations, reports, briefing notes, and correspondence in English.
  • Take minutes during meetings and track follow-up actions to ensure timely completion.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, visas, transportation, and detailed itineraries.
  • Act as a key point of contact between the CEO and senior stakeholders, clients, partners, and internal departments.
  • Manage confidential and sensitive information with the highest level of discretion.
  • Support executive decision-making by gathering information, preparing analyses, and anticipating potential issues.
  • Organize corporate events, leadership meetings, board meetings, off-sites, and client-facing events.
  • Process expense reports and monitor executive-related budgets and expenditures.
  • Coordinate invoice approvals, purchase orders (POs), and liaise with Finance regarding payments and budget tracking.
  • Liaise with external suppliers and service providers to ensure efficient office operations.
  • Welcome and assist visitors, clients, and business partners attending meetings with the CEO.
  • Anticipate scheduling conflicts and operational challenges, proactively proposing solutions.
  • Support special projects and strategic initiatives as required.
