Remarketing & B2B Back Office Specialist

• Education: Bachelor's degree in Business Administration, Logistics, Economics, or a related field.

• Experience: Minimum of 2-3 years of back-office or sales administration experience within the automotive sector (Used Cars, Remarketing, RAC, or Fleet/Leasing companies in Spain is highly mandatory).

• Deep understanding of the Spanish automotive market administrative processes (DGT, Gestorías, IVA de bienes usados/REBU).

The Administration Back Office Specialist is responsible for the end to end administrative processing of used car transactions, ensuring accurate documentation, invoicing and data entry in line with internal procedures and legal requirements.

This role provides essential back office support to the sales and operations teams, helping to maintain seamless workflows and a high standard of service for internal and external customers.

• Manage the end-to-end administrative flow of B2B used vehicle sales (from vehicle repatriation to final delivery).

• Issue, validate, and track B2B sales contracts, buy-back agreements, and purchase orders.

• Process invoices, credit notes, and tax/VAT documentation relevant to domestic and intra-community automotive transactions.

• Maintain and update the CRM and Used Car inventory databases with complete precision.

• Monitor inventory aging and ensure that vehicle listings on B2B remarketing/auction platforms are accurate and up to date.

• Collaborate with vehicle inspectors to upload condition reports and track reconditioning expenses.

• Coordinate vehicle logistics (transportation from compound to B2B buyers or auction hubs).

• Compile performance data on days-to-turn (DTT), residual value margins, and sales volumes.

• Prepare regular reports and dashboard updates for the Remarketing Manager to support strategic business reviews.
