We want to add two Administrative Assistants to the team, Industrial Engineer with Electrical and/or Mechanical specialty, for administrative support tasks in the management of comprehensive maintenance contracts in both public and private buildings at our Valencia branch. The mission of the position is to provide administrative support in the management of assigned contracts, as well as the control and execution of the entry into the system of all economic information of the project in accordance with Company policies, internal client requirements, and current legislation to provide an efficient administrative management service for the project.
- Manage project/site documentation
- Prepare and follow up on reports according to client needs
- Control weekly timesheets of site staff, km, expenses, and vacations
- Manage billing orders, prepare and process internal charges, carry out control of provisions and accruals. Register delivery notes, valuations, and provisions, production, certifications, and updated site planning in the SAP system, and manage and account for the site cash box, in order to obtain the monthly operating account and reflect the real economic status of the project.
- Enter orders and purchasing/service needs into the system with the information provided by the production team (comparisons, awarded bids), as well as follow up on the status of the request with the purchasing administration department and its transfer to production to ensure compliance with agreed conditions and established deadlines.
- Report and provide the Responsible Technician / Site Manager with all economic information regarding the monthly closing to ensure they have the information in a timely and proper manner.
